Mind-Body Fitness LLC is a personal training business operated by Jason Barthold, CSCS, PN-1. We provide online strength training programs, AI-assisted coaching, and fitness education through our website at mind-bodyfitness.com and the Trainerize mobile app. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have regarding your data.

Information We Collect

Information You Provide Directly: When you fill out our intake form, enroll in a program, or communicate with us, we may collect your name, email address, phone number, and mailing address; health screening responses (PAR-Q questionnaire); current pain levels and injury history; training experience and equipment access; payment information (processed securely by Stripe — we never store your full card number); and in-app messages and coaching communications.

Information Collected Automatically: When you visit our website or use our services, we may automatically collect device type and browser information, IP address, pages visited and time spent on our site, and cookies and similar tracking technologies.

Training Data: When you use the Trainerize app as part of your program, we collect workout completion data, weights used and reps completed, RPE (Rate of Perceived Exertion) ratings, progress photos (if you choose to upload them), and body weight and measurements (if you choose to track them).

How We Use Your Information

We use the information we collect solely for: designing and delivering your training program; communicating with you about your coaching and services; processing payments and managing your subscription; personalizing AI-assisted coaching responses and programming adjustments; screening for health red flags to ensure your safety; improving service quality and program design; sending automated check-ins, reminders, and program guidance; and complying with legal obligations. We will never use your information to send you unrelated marketing, sell your data, or share it for advertising purposes.

AI-Assisted Coaching Disclosure

Mind-Body Fitness utilizes artificial intelligence technology (powered by Anthropic's Claude) to assist with programming recommendations and client communication. Your training data, messages, and program information may be processed by AI to generate personalized coaching responses. All AI-generated responses are reviewed and approved by Jason before delivery to you. AI assistance does not replace Jason's professional judgment — complex issues requiring human oversight are always escalated to Jason directly. Your data is used to personalize your experience, not to train AI models. By enrolling in our program, you acknowledge and consent to the use of AI technology as part of your coaching services.

How We Share Your Information

Your information will NOT be shared with third parties except for the following service providers essential to delivering your program:

Trainerize — Hosts your workout programs, tracks your training data, and provides the mobile app you use to access your coaching.

Stripe — Securely processes your credit card payments and manages your subscription billing. Your payment information is handled by PCI-compliant systems — we never see or store your full card number.

GoHighLevel — Hosts our intake forms, manages our client database, and handles automated email communications.

Make.com — Connects our systems together to automate program assignment, notifications, and workflow management. Data passes through Make.com during processing but is not stored long-term.

Anthropic (Claude API) — Processes your coaching messages to generate draft responses for Jason's review. Per Anthropic's API data policy, your data is not used to train their AI models.

As required by law — We may disclose your information if required by law, court order, or legal process.

We do not sell, rent, or trade your personal information to any third parties for marketing or advertising purposes.

Data Security

We take the security of your information seriously. All data is transmitted using industry-standard encryption (SSL/TLS). Payment information is processed through PCI-DSS compliant systems. Health information is handled with care consistent with HIPAA guidelines where applicable. Access to client data is limited to Jason and the automated systems described above. Our email systems use SPF, DKIM, and DMARC authentication to prevent spoofing. While we take reasonable measures to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

Cookies and Tracking

Our website may use cookies and similar technologies to keep you logged in during your session, remember your preferences, understand how visitors use our site, and improve website functionality. Essential cookies are required for basic website functionality like form submissions. Analytics cookies help us understand how visitors interact with our site and collect anonymous, aggregated data. You can control cookies through your browser settings. Disabling cookies may affect some website functionality.

Your Rights

You have the right to: access your data (request a copy of the personal information we hold about you); correct your data (ask us to update or correct inaccurate information); delete your data (request deletion, subject to legal retention requirements and active subscription obligations); withdraw consent for AI-assisted coaching at any time, though this may affect the scope of services we can provide; and cancel your subscription at any time per the cancellation policy in our Terms of Service. Data Retention

We retain your personal information for as long as you have an active subscription, plus a reasonable period afterward for record-keeping, legal compliance, and dispute resolution purposes. If you request deletion of your data, we will delete or anonymize your information within 30 days, except where retention is required by law or necessary to resolve disputes.

Children's Privacy

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us immediately.

Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, technology, or legal requirements. If we make material changes, we will notify you via email or in-app message at least 30 days before the changes take effect.
